Mission Statement
Eagle Care Program Description
Eagle Care provides wrap-around care for the Early Learning Center and Early Childhood Center. Eagle Care operates in a classroom group setting for students ages 3-5 years old. The program operates with established routines, predictable schedules, and clear behavioral expectations that support children’s ability to function successfully within a classroom and larger peer group with multiple age ranges.
Program Structure and Environment
Students participate in supervised group activities in shared spaces with multiple aged peers present simultaneously. The program follows a consistent daily schedule that balances structured activities, center time, nap-time, and free choice time. Students are expected to transition independently between centers and activities, follow multi-step directions, and manage their belongings with adult prompting. The environment includes typical classroom noise levels, movement, and social interactions common in group care settings.
Goals and Objectives
Eagle Care staff serve as facilitators of positive development through structured activities, center time, games, spontaneous play opportunities, and adult/peer interactions. The program offers a balance of child-centered activities and enrichment programming combined with choices for free time and student choice. Students are expected to participate appropriately in group activities, share materials and space with peers, and demonstrate age-appropriate self-regulation skills.
Eagle Care will create an atmosphere of respect for all those who interact with the program. This includes children and youth, parents and guardians, teachers and schools, and our community.
Admission
Eagle Care is designed to serve children ages 3 years to 5 years old. Children that are 3-5 years old are eligible if they turn 3 prior to July 31st of the upcoming school year. First priority is given to returning Eagle Care students and students enrolled in Nixa Public Schools ELC or ECC programs in order to be enrolled in Eagle Care.
Eagle Care will not discriminate in providing services to children and youth on the basis of race, ethnicity, religion, cultural heritage, marital status, sexual orientation, or disability. Enrollment requirements are that the child must be 3 years old, enrolled in the ELC or ECC program, and fully potty trained to attend the program. Eagle care will accommodate students with IEPs or special care plans with potty training.
A potty trained child meets the following criteria:
- Is able to communicate to an adult they have to go potty before they have to go.
- Is able to pull down and pull up their underwear and pants independently.
- Is able to get on and off the toilet themselves.
- Is able to wipe themselves after using the toilet.
- Is able to wash and dry their hands.
- Is able to go directly back to the room without directions.
- Is able to postpone going if they must wait for someone who is in the bathroom or if they are outside and away from the classroom.

Withdrawal from Program
If schedule changes are needed for your child, please complete a Schedule Change Request online at www.nixaxlt.net or submit notice in writing to the XLT office. This may be emailed to the XLT Office Manager at madysontilley@nixaschools.net.
Schedule changes made prior to the 25th of each month will be applied to the end of the current month. Changes made after the 25th of the month will not be applied until the end of the following month. This is due to the tuition schedule being broken down over a year of payments spread out evenly across the school year.
Tuition will not be prorated, appropriate notice must be given to stop tuition from being charged. Tuition will continue to be charged unless we have received a schedule change form. All balances must be paid in full in order to return.
If your family should have an unusual or emergency type financial problem that may affect the prompt payment of tuition, please call 417-724-6190 to discuss the situation with the XLT Office Manager.
If your child will not be attending the program as scheduled, please notify your child’s Eagle Care teacher in advance. Cooperation in this matter is for the safety of your child.
If your child does not attend for one month and Eagle Care has not been notified, your child will be dropped from the program. All balances must be paid in full in order to return.
Written notice should include the following information:
- Child’s full name
- Parent’s full name
- Current date
- Effective Date of Change
- School child attends
- Current Eagle Care schedule
- Requested Eagle Care schedule or withdraw
- Parent signature

Care & Discharge of Children
Check in / Out Procedure
It is mandatory that you, or someone approved on your child’s enrollment form, bring your child into the building and sign your child in and or out each day. This will provide us a chance to share with you any information you may need regarding your child or the program. Please NEVER leave a child unattended at the main entrance or at a classroom door.
Confirmation of communication is the responsibility of the parent. Important information such as School Day Off, program changes, or policy changes are made available at this time through postings on the website or ParentSquare.
Your child may not be dropped off before 6:30am. Eagle Care requests that a student arrives no later than 9:00am. At this time, classes are in full session. A disruption in the school schedule affects all students, teachers, and programming. If your child will be arriving after 9:00am you are required to contact Eagle Care lead Supervisor, at 417-724-6337. Students may not be dropped off at Eagle Care if they did not attend school that day.
Children in our care can only be released to the persons listed on the enrollment form. Everyone should be prepared to show ID each time the child is picked up. Due to staffing changes and substitute teachers, our staff may not be able to recognize each individual who picks up the child. This rule helps us to ensure the safety of your child and is mandatory.
Only individuals sixteen (16) years of age or older may pick up a child from the program.
In the event your child will be absent from Eagle Care or when you are notifying the office or building site of an alternate person picking up your child, you may be asked to provide the last four digits of your social security number. This is to ensure the safety of your child. Under no circumstances will Eagle Care allow a child to walk home without an authorized individual.
Children not picked up by 5:30pm
Children must be picked up by 5:30pm. The school’s clock will serve as the official clock. If a child is not picked up by 5:30pm, you will be charged a late pick up fee of five dollars ($5.00) per child for the first 1-10 minutes, and one dollar ($1.00) per child per minute thereafter.
There will be no exceptions or warnings. If you are late for any reason (Flat tire, work-related issues, miscommunication between parents, etc), a charge will be issues. A “No exceptions” rule makes it easier for us to apply the late fee to everyone consistently and fairly.
A form indicating the child’s name and at what time the parent arrived has been developed with the rule clearly stated. The parent and site supervisor or assistant will sign this form for documentation of the infraction.
After all attempts to contact parents and emergency contacts have failed, the school police officer will be notified to assist any child not picked up by 6:00pm.
Custody Issues
In cases where the child is the subject of a court order (e.g., custody order, family plan restraining order, or protection from abuse order), Eagle Care must be provided with a certified copy of the most recent order and all amendments. The orders of the court will be strictly followed unless the custodial parent(s) request a more liberal variation of the order in writing and it is approved by the court.
In the absence of a court order, Eagle Care cannot limit the access of one parent (or guardian) by the request of the other parent (or guardian), regardless of the reason.
Reporting Child Abuse
Under the Child Protective Services Act, mandated reporters are required to report any suspicion of abuse or neglect to the appropriate authorities. The staff of Eagle Care is considered mandated reporters by law.
As mandated reporters, the staff of Eagle Care cannot be held liable for reports made to Child Protective Services that are determined to be unfounded, provided the report was made in good faith.
Department of Health License Exempt Child Care Facilities
Child Supplies
If your child attends a morning ELC/ECC class or is an Eagle Care Full-Time student, then you will have a resting time with us after lunch. Eagle Care supplies cots. Please send a blanket and travel size pillow with your child to leave on their cot. Eagle care will sanitize cots daily. Blankets and pillow/pillowcases will be sent home weekly on Friday to be washed and returned.
All items must be labeled with your child’s name.
If your child is attending Eagle Care on a day that the ELC or ECC is not in session, and they do not already have these supplies in Eagle Care, they will need to bring a blanket and travel size pillow with them for that day.
Confidentiality
Family Educational Rights and Privacy Act (FERPA) is a federal law that protects the confidentiality of a student’s educational records. It also requires schools receiving federal money to provide parents access to their child’s records and allows them to request modification of the child’s educational records. This right is also extended to students the age of 18 and older.
Meals / Snacks
Eagle care does not provide meals, milk, and/or snacks for children.
Breakfast, lunch, and milk can be purchased from the Peggy L. Taylor Early Learning Center cafeteria during regular school days. When purchasing breakfast, please provide the Eagle Care staff at least 24 hours’ notice. Please send breakfast and lunch (unless purchasing from the cafeteria), a morning snack, and an afternoon snack.
Payments are not accepted in the Eagle Care classrooms. Please make payments online through School Pay.
The parent/guardian must label the child’s water bottle and lunch box with their name.
Eagle care request that parents send healthy lunches and snacks on School Day Off unless otherwise notified. The Peggy L. Taylor Early Learning Center cafeteria does not serve meals on days where school is not in session. We will do our best to provide adequate storage for lunches.
A treat may be sent for a special occasion if you wish; however, we would prefer that you send healthy snacks. All snacks provided must be prepackaged. Please see the lead supervisor for ideas.
Due to staff/child ratios, Eagle Care cannot heat up student’s food/meals.
All Eagle Care classrooms and Camps are peanut and tree nut free. Please check labels before sending them with your child. If the food item includes peanuts or tree nuts the snack will be sent home with your child. Please be aware of information on the product such as “may contain peanuts”, “produced in a factory that processes peanuts,” or “Processed in a factory with peanuts.
Avoid bringing foods that contain the following:
- Nut butters (almond, cashew, peanut, hazelnut)
- Nut pastes (nougat)
- Nut oils
- Peanut flour
- Nut extracts
If adequate supplies and/or meal items are not provided, the parent will be contacted to bring the supplies in or pick up the child. Adjustments to the lists above can be made at the Eagle Care lead Supervisor’s discretion without notice.
Parent/Guardian Visitation
Parents/guardians are always welcome to visit the program at any time. We would love to have you come and share your job skills or hobbies with us. Please check with the Lead Teacher for a date if you wish to share your skills/hobbies with Eagle Care.
Eagle Care will follow all district procedures regarding visitors. We encourage communication with our Eagle Care staff at all times. However, if there is a situation you feel must be discussed please follow the hierarchy below. If you wish to meet with the Lead Supervisor, please contact them ahead of time to schedule an appointment. This allows them to specifically address your situation and not take away learning time from the other children.

Personal Property
Clothing
Children should dress appropriately for active play. Each child should have an extra 2 sets of clothing in the event of an accident. All clothing should be labeled with your child’s name. Shoes with socks must be worn during program hours. On the first day of care, parents should bring 2 complete changes of clothes, including socks and shoes, in a Ziploc bag to be kept in the classroom. Dirty clothes will be sent home in a plastic bag to be washed, and a new set of clothes should be provided the next day. If an accident occurs and no clothes are available, the parent will be called to bring a change of clothes or pick up the child.
Reminder, clothing in the Ziploc bag may need to be changed when the seasons change.
Sick Children
Good attendance is important to your child’s learning; however, there are times when your child may be too sick to attend school. Please keep your child home from school and contact your child’s physician if they:
● are unable to participate fully in all school activities due to illness
● have symptoms of a contagious condition or a rash with an unknown cause
● have live bugs, included but not limited to head lice
● have a fever of 100 degrees or more within the last 24 hours, without fever-reducing medication
● have been vomiting or experiencing diarrhea within the past 24 hours or if they are unable to eat
normally
● have persistent coughing with shortness of breath
● have a diagnosis of strep throat that has not been under antibiotic treatment for 24 hours
If your child has any of these symptoms while at school, a parent/guardian will be contacted to pick him/her up.
Your child must be symptom free for at least 24 hours without the aid of fever reducing medications before returning to school or Eagle Care. All sick policies are subject to change to reflect/coincide with Nixa Public Schools District Policy.
Medication / Allergies
A child may not receive medication of any type from the Eagle Care program unless medication is absolutely necessary. If this is the case, we require parents/guardians to please follow these procedures:
● Complete a School Age Child Care medication Form, advising the lead teacher of the amount and frequency of dosage.
● The medication must be in the original container with the pharmacist’s label marked with the prescription name, date, child’s name, and physician’s name.
● At the end of the medication period, parents should take home any unused medication.
● Eagle Care can only accept instructions concerning medication directly from the child’s parent/guardian. We cannot access medication that is provided to the school Nurse’s office, you will need to provide separate medications for Eagle Care.
What We Can And Cannot Do:
● We can administer prescribed oral medications. We must have the Permission to Administer Medication Form signed by the doctor and/or parent to administer any medication.
● We can administer medication/treatments that require one-time training by a licensed medicalpersonnel, family members, or healthcare providers such as Emergency Epipen Allergy Kit.
● Medication administrations including but not limited to injected medications, gastric tube feedings, catheterization, blood collection for glucose monitoring need to be scheduled outside of Eagle Care hours when possible. If not possible, a plan will be put into place with the school nurse and Eagle Care staff.
Accidents
Throughout the course of the day, children will get occasional bumps, cuts, and scrapes associated with active play. Every effort will be made to document and notify parents of these minor accidents. We will provide minor first aid care. Eagle Care is not responsible for any personal injury incurred while the children are at the childcare program. Parents are encouraged to enroll in insurance to cover accidents.
Naptime
Eagle Care provides a naptime for all students in our program. Naptime is daily from 12:30-2:30pm. Students are not required to sleep during naptime, but they must spend at least 45 minutes on their cots. (Not next to or under the cot) quietly before moving onto a quiet activity provided by the teacher. This 45 minutes allows for our teachers to help the other students in the classroom fall asleep without distractions or interruptions from the students that are not napping. If a student refuses to stay on their cot, is running around the classroom, tries to leave the classroom, is climbing on furniture, screaming/yelling, or being physically aggressive during naptime, Eagle Care can/will send the student home for the remainder of the day.
Accommodations Care Plans for Students with Disabilities
Eagle Care does not discriminate on the basis of disability and is committed to providing reasonable accommodations to ensure equal access to our program for all qualified students. We welcome students with diverse learning and physical needs and will work collaboratively with families to identify and implement appropriate supports.
Accommodations Process
When a student with a disability applies to or enrolls in Eagle Care, we will:
● Engage in an interactive process with the student, family, and relevant educational team
members to understand the student's needs
● Review documentation of the disability and recommended accommodations
● Identify reasonable accommodations that enable the student to participate meaningfully in the
program
● Implement and monitor accommodations with ongoing communication and adjustment as
needed
Essential Program Requirements
To ensure transparency in our accommodation decisions, we have identified the following essential requirements of the Eagle Care Program:
Group Participation Requirements:
● Ability to function safely within a structured group classroom setting with multiple aged peers (3-5 years old) present simultaneously
● Participation in supervised group activities in shared spaces with typical classroom noise levels and movement
● Response to staff supervision and redirection within a group care and classroom environment
● Safely and effectively operate within the regular staff to student ratio of 1:10
Independence and Self-Management:
● Ability to transition between activities and spaces with staff support and prompting as needed
● Management of personal belongings with available staff assistance
● Following multi-step directions with accommodations and visual supports as appropriate
Social and Behavioral Expectations:
● Demonstration of behavior that does not pose a direct threat to the safety of self or others
● Ability to share materials and space with peers using appropriate accommodations and social supports
● Engagement in the program's social environment, recognizing that the level and type of social interaction may vary based on individual needs
Physical and Environmental Considerations:
● Tolerance of typical sensory stimuli present in group care settings (noise, movement, social interaction), with accommodations such as breaks, quiet spaces, or sensory supports as needed
● Ability to participate in the physical environment with appropriate modifications to activities or spaces
These essential requirements may be accomplished through various means and with appropriate accommodations and supports, including but not limited to: modified activities, visual schedules, sensory breaks, individualized behavioral supports, assistive technology, and environmental modifications.
When Accommodations May Not Be Feasible
In rare circumstances, an accommodation request may not be feasible if it would:
● Fundamentally alter the nature of the program by eliminating an essential requirement listed above
● Create an undue financial or administrative burden on the program
● Pose a direct threat to the health or safety of the student or others that cannot be mitigated through reasonable accommodations
Before determining that a requested accommodation is not feasible, Eagle Care will:
● Thoroughly explore alternative accommodations that could meet the student's needs
● Consult with disability experts or specialists as appropriate
● Document the specific reasons why the accommodation would fundamentally alter the program or create undue burden
● Communicate clearly with the family about the decision and reasoning
Our Commitment
XLT believes that most students with disabilities can be successfully supported in our program with thoughtful accommodations and collaboration. We are committed to creative problem-solving and will make every reasonable effort to ensure students with disabilities have equal opportunity to benefit from our program.
Families are encouraged to contact our XLT Offices at 417-724-6190 to discuss accommodations or concerns at any point during the enrollment or participation process.
Behavior Guidance
Eagle Care makes every effort to ensure the safety of all children. Inappropriate behavior in Eagle Care will be handled in accordance with School Board Policies. Some types of misconduct may result in immediate suspension or dismissal from Eagle Care.
Behavioral Expectations
Eagle Care creates an atmosphere of respect for all individuals within the program community, including children and youth, parents and guardians, teachers and schools, and the broader community. Students are expected to follow standard program rules, respond appropriately to adult redirection, engage in safe play with peers, and demonstrate the ability to function within typical group care parameters.
Behavioral Management
At Eagle Care, we view behavioral challenges as opportunities for teaching and growth. Our primary goal is to guide students toward making positive choices while maintaining their dignity and self-esteem.
When a student's behavior needs redirection, our staff are committed to:
● Respectful Communication: We will always speak to your child calmly and respectfully, in an age-appropriate manner, to help them understand the impact of their actions.
● Teaching and Guidance: Instead of simply enforcing rules, we focus on teaching expected behaviors and providing students with the skills they need to succeed in Eagle Care.
● Providing Chances for Correction: We believe in giving students opportunities to correct their behavior and learn from their mistakes. Our approach is centered on encouragement and support, not punishment.
We aim to work in partnership with parents to ensure every student has a positive and productive
experience in our program.
Eagle Care implements an adapted Behavior Matrix to address inappropriate behaviors based on the guidance of School Board Policy JG: STUDENT DISCIPLINE and School Board Policy JG-R1: STUDENT DISCIPLINE. In all discipline and behavior management matters, Eagle Care will take into account any applicable IEP or 504 plans to ensure appropriate and equitable treatment of students with disabilities.
Parents, guardians, and or drop-off/pick-up individuals are also expected to behave in a respectful and professional manner when addressing or interacting with Eagle Care staff. If a parent, guardian, and/or drop-off/pick-up individual is aggressive, violent, yells, screams, makes inappropriate comments, makes inappropriate advances, or ever threatens Eagle Care staff, their student may be dismissed from the program. A School Police Officer or the Nixa Police Department will be contacted by Eagle Care to make an incident report.
There is no reimbursement of tuition if either a student, parent, guardian, and/or drop-off/pick-up individual is reported in behavior situations.
Bullying
In order to promote a safe learning environment for all students, Nixa Public Schools prohibits all forms of bullying. The district also prohibits reprisal or retaliation against any person who reports an act or bullying among or against students. If an act of bullying is reported within Eagle Care, the Program Coordinator and/or Eagle Care Lead Supervisor will perform an investigation, consult with building Principals, and report to the appropriate Administrator. Bullying is prohibited in Eagle Care and will result in suspension or dismissal form the program.

Outdoor Weather Safety
Outside play gives children an opportunity to run off excess energy generated during the regular school day. However, precautions need to be taken to ensure a safe and enjoyable play period.
Children will have 30-60 minutes of outside exercise/play each day.
- Children will go outside when the outside temperature is 25 degrees Fahrenheit or above. (Wind chill will be taken into consideration.)
- Over 95 degrees Fahrenheit, students will remain indoors. (Heat Index will be taken into consideration).
- Safety drills are conducted on a monthly basis.
- At the first indication of lightning or severe weather, staff will bring children indoors. The XLT Program Coordinator monitors the weather during these conditions.
If parents request their children be excused from participating outdoors, a doctor’s note must be on file.

Eagle Care Summer Camp - Camp Soar
Camp Soar is Eagle Care’s summer camp. Camp operates in the month of June (during NPS Summer School). Camp Soar is structured and functions in a group setting for students 3-5 years old. The program operates with established routines, predictable schedules, and clear behavioral expectations that support children’s ability to function successfully within a larger peer group and multiple age ranges.
Eagle Care Camps are separate programs operated by XLT. Registration and payments are separate from your Eagle Care registration and tuition payments.
Refunds: Due to staffing requirements, camps are non-refundable. Refunds/credits will not be given for missed days. All cancellations must be made in email or writing at least 1 week prior to the registration closing date for each event.
For us to operate camps we have a minimum enrollment of 20 children enrolled each day. We will give appropriate notice if we do not have enough registered to operate a camp.
